2. What information we collect

Percona may collect and store the following personal information:

  • Name
  • Email address
  • Organisation or company name, if provided
  • Any related communication preferences or notes linked to the person’s email address

Percona does not intentionally collect sensitive personal data through this process.

3. Why we use this information

Percona uses names and email addresses for the following purposes:

  • To contact people who have asked to hear from Percona
  • To manage event registrations, updates, invitations, or related communications
  • To respond to enquiries
  • To maintain basic contact records
  • To send relevant updates, where permitted by law
  • To manage community, sales, support, partnership, or legal-related communications where relevant

Percona will not use personal information for unrelated purposes without a valid reason.

4. Lawful basis for processing

Under the EU GDPR and UK GDPR, Percona must have a lawful basis for using personal data. For names and email addresses, Percona may rely on one or more of the following:

  • Consent - where a person has clearly agreed to receive communications from Percona.
  • Legitimate interests - where Percona has a reasonable business or organisational reason to contact someone, provided this does not override their rights and interests.

5. Marketing and email communications

Percona will only send marketing or promotional emails where it has a lawful basis to do so.

Where consent is required, Percona will ask for clear permission before sending marketing emails. People can unsubscribe or ask Percona to stop contacting them at any time.

6. How long we keep information

Percona will keep names and email addresses only for as long as reasonably necessary for the purpose they were collected.

As a general rule:

  • Contact records may be kept while there is an active relationship or reasonable ongoing interest.
  • Event-related contact records may be kept for future relevant updates unless the person opts out.
  • If someone unsubscribes or asks not to be contacted, Percona may keep a limited suppression record to make sure they are not contacted again by mistake.

Percona will review stored contact information periodically and delete information that is no longer needed.

7. Sharing personal information

Percona does not sell personal information. Percona may share names and email addresses only where necessary, for example with:

  • Email service providers
  • Event registration platforms
  • CRM or contact management tools
  • IT, hosting, or administrative service providers
  • Legal or regulatory authorities, where required by law

Where Percona uses third-party service providers, Percona expects them to protect personal data and only process it according to Percona’s instructions.

8. International transfers

Percona is headquartered in the United States. This means personal information may be processed or stored outside the UK or European Economic Area. Some service providers used by Percona may also process data outside the UK or European Economic Area.

Where this happens, Percona will take reasonable steps to ensure appropriate safeguards are in place, such as standard contractual clauses or other recognised data protection protections.

Percona takes reasonable steps to protect names and email addresses against unauthorised access, loss, misuse, alteration, or disclosure. This may include:

  • Using password-protected systems

  • Keeping records reasonably accurate and up to date
  • Deleting data when no longer needed

Under EU GDPR and UK GDPR, individuals may have the right to:

  • Ask what personal data Percona holds about them
  • Request a copy of their personal data
  • Correct inaccurate information
  • Ask Percona to delete their information
  • Restrict or object to certain uses of their information
  • Withdraw consent, where processing is based on consent
  • Complain to a data protection authority
